The 5-day follow-up email framework that revives unread applications
How and when to follow up on your job applications without sounding desperate, including high-converting follow-up templates.
Sending a cold email to a recruiter is only half the battle. Tech recruiters in India receive between 50 and 150 emails every single day.
Even if a recruiter likes your profile, your email can easily get pushed down by meetings, internal threads, or urgent interview scheduling.
Over 40% of recruiter replies actually happen on the first follow-up. Here is how to follow up the right way.
The 5-Day Rule: Timing Is Everything
- Too early (under 3 days): You look pushy and impatient. Recruiters need time to review candidate batches.
- The Sweet Spot (5 to 7 business days): You look proactive, organized, and genuinely interested in the team.
- Too late (over 3 weeks): The hiring team has likely already moved candidates to the final interview stages.
Always schedule your follow-up for Tuesday, Wednesday, or Thursday between 10:00 AM and 2:00 PM IST.
The 3 Non-Negotiable Rules of Follow-Ups
- Always reply in the exact same email thread. Never start a brand new email. Replying in the existing thread keeps the original pitch, subject line, and attached resume right in front of the recruiter.
- Never just ask "any update?". Add a small piece of new value, such as a recent feature you built, an updated benchmark score, or a live demo link.
- Keep it under 60 words. The follow-up is a quick nudge, not a full re-pitch.

What If They Still Do Not Reply?
If you receive no response after 2 polite follow-ups spaced one week apart, do not take it personally. Hiring priorities shift, headcount freezes happen, or the role may have been filled internally.
